OVID Telnet Printing and Downloading




When using Library workstations, downloading large sets of search results to your IU email account or a diskette for later printing is encouraged. (Formatted diskettes can be purchased at the Circulation Desk for $1.)

NOTE: The ^ symbol in these instructions means hold down the Control or Ctrl key and press the highlighted letter.

To print or download the complete text of articles from the Core Biomedical Collection, the individual article must be displayed on the screen. Otherwise, only the reference to the article will be printed or downloaded.

Printing

Direct printing is not possible outside the Library unless you have a PPP connection or a direct connection to the University network. If unable to print, download the file to the host you are using (e.g. IndyVAX or IndyUnix), then download from the host to your workstation.

TO PRINT AN ENTIRE SET:

Press ^P while at the main search screen. If you created more than one set, use the arrow keys and spacebar to highlight the set to be viewed, then press Enter.

Use the Tab key and numeral keys if you wish to change the number of documents to print or the Tab key and spacebar if you wish to change the default value of Include Strategy. Press ^O when finished making changes.

Decide which fields to include in your printed results. To accept the highlighted fields as shown, press Enter. To add a field, use the arrow keys to move to the field and the spacebar to highlight it. To remove a field, use the arrow keys to move to the field and the spacebar to deselect it. When finished making changes, press Enter.

When the message Output about to be dumped to printer appears, at workstations outside the library make sure the printer is online, then press Enter.

When the message Transmission complete appears, press Enter to acknowledge the message and be returned to the main search screen.

TO PRINT SELECTED RECORDS:

First view the set by pressing ^K. If you created more than one set, use the arrow keys and spacebar to highlight the set to be viewed, then press Enter.

To save a record for printing, press the spacebar. If you change your mind, press the spacebar again to deselect the record. To advance to the next record, press ^N. To return to the previous record, press ^P. To move to a specific record, press ^J, then type the record number and press Enter.

When finished viewing the set, press ^L to return to the main search screen. The selected records will appear as a new set. Press ^P to print the set of selected records. If you created more than one set, use the arrow keys to highlight the set to be printed, then press Enter.

Use the Tab key and numeral keys if you wish to change the number of documents to print or the Tab key and spacebar if you wish to change the default value of Include Strategy.

Decide which fields to include in your printed results. To accept the highlighted fields as shown, press Enter. To add a field to your search results, use the arrow keys to move to the field and the spacebar to highlight it. To remove a field, use the arrow keys to move to the field and the spacebar to deselect it. When finished making changes, press Enter.

The message Output about to be dumped to printer will appear (at workstations outside the library make sure the printer is online). Press Enter.

When the message Transmission complete appears, press Enter to acknowledge the message and be returned to the main search screen.


Downloading

The Save option, ^B, will allow you to save citations to your email account, to a diskette using FTP (File Transfer Protocol), or to your own computer's hard drive using one of several options. At Library workstations, use Email or FTP.

If you are planning on importing downloaded references into personal bibliographic database management software such as Reference Manager or Procite, see note before proceeding.

If you are using a Macintosh workstation, see note before proceeding.

Select the method you wish to use:

Email
If you have an email account that is accessible through the Internet or an Indiana University host, such as IndyVAX or IndyUNIX, you can have the results of a search emailed to your account. NOTE: Large files may be transmitted as more than one message.

FTP (File Transfer Protocol)
Use this method to download to a diskette. This is the preferred method for downloading to networked computers. Formatted diskettes can be purchased at the Circulation Desk for $1.

Kermit, Xmodem, Ymodem, Zmodem
These methods are used for downloading via a telephone line and modem. Most, but not all, communications software packages support one or more of these methods.

Screen Capture
Most communications software for both dial-in and networked access can carry out screen captures. This method is slower than the other methods, but may be the only way some software is able to download a file.


Email

Do your search, then press ^B.

Select Save Documents and press Enter. (If you created more than one set, you will be prompted to highlight the set to be saved. Use the arrow keys to highlight the desired set and press Enter).

Press Enter to select Email from the Select Save Service menu.

Enter a name for your set (up to eight characters).

Use the Tab key and numeral keys if you wish to change the number of documents to download. Use the Tab key and the spacebar if you wish to change the default value of Include Strategy.

When you have made all desired changes to the settings, press ^O.

Decide which fields to include in your downloaded records. To accept the hightlighted fields as shown, press Enter. To add a field to your search results, use the arrow keys to move to the desired field and the spacebar to highlight it. To remove a field, use the arrow keys to move to the desired field and the spacebar to deselect it. When finished making changes, press Enter.

Select an Output Format. Press Enter to use the OVID format unless you will be importing your references into personal bibliographic database management software such as Reference Manager or ProCite For importing, use the arrow keys to choose the Reprint format, then press Enter.

You will be prompted to enter some information:

When you are prompted to enter a Recipient, enter your complete internet email address and press Enter. NOTE: Be sure the address is correct; OVID software does not display an error message if email is undeliverable.

When you are prompted to enter a Subject, you may type a new subject label and press EnterOR to accept the default label, OVID Citations, press Enter.

The message Your request has been emailed will appear. Press Enter to acknowledge the message and be returned to the main search screen.



FTP (File Transfer Protocol)

Do your search, then press ^B.

Press Enter to select Save Documents. (If you created more than one set, you will be prompted to highlight the set to be saved. Use the arrow keys to highlight the desired set and press Enter).

Use the arrow keys to select FTP from the Select Save Service menu.

Enter a name for your set (up to eight characters).

Use the Tab key and numeral keys if you wish to change the number of documents to download, or use the Tab key and the spacebar if you wish to change the default value of Include Strategy.

When you have made all desired changes to the settings, press ^O.

Decide which fields to include in your downloaded records. To accept the hightlighted fields as shown, press Enter. To add a field to your search results, use the arrow keys to move to the desired field and the spacebar to highlight it. To remove a field, use the arrow keys to move to the desired field and the spacebar to deselect it. When finished making changes, press Enter.

You will be prompted to enter some information:

You will be prompted to enter a Remote Name. This is the IP (Internet Protocol) address of the workstation you are using. In the Library, a number should already be filled in. The same number should be displayed on a label attached to your terminal (if the number is not the same, type in the number from the label, then press Enter). Press Enter to accept the default. To send the results to a different computer, enter a new IP address and press Enter.

You will be prompted to enter a Remote Directory. Usea: at Library workstations or the letter of the disk drive on your own computer. Press Enter). This will send the results directly to the disk drive of the workstation you are using.

You will be prompted to enter a Username and Password. You do not need to enter any information at these prompts unless you have security enabled on your own computer. Press Enter at each of these prompts to leave these lines blank.

The message Output about to be transferred via FTP will appear, At Library workstations, press Enter to begin downloading. At your own terminal, you may first need to enable FTP before pressing Enter.

When the message Transmission complete appears, press Enter to return to the main search screen.


Kermit, XMODEM, YMODEM, and ZMODEM

Do your search, then press ^B.

Press Enter to select Save Documents. (If you created more than one set, you will be prompted to highlight the set to be saved. Use the arrow keys to highlight the desired set and press Enter).

Use the arrow keys to select Kermit, XMODEM, YMODEM, or ZMODEM from the Select Save Service menu, then press Enter.

Enter a name for your set (up to eight characters).

Use the Tab key and numeral keys if you wish to change the number of documents to download or the Tabkey and spacebar if you wish to change the default value of Include Strategy.

When you have made all desired changes to the settings, press ^O.

Decide which fields to include in your downloaded records. To accept the highlighted fields as shown, press Enter. To add a field to your search results, use the arrow keys to move to the desired field and the spacebar to highlight it. To remove a field , use the arrow keys to move to the desired field and the spacebar to deselect it. When finished making changes, press Enter.

Select an Output Format. Press Enter to use the OVID format unless you will be importing your references into personal bibliographic database management software such as Reference Manager or ProCite. For importing, use the arrow keys to choose the Reprint format, then press Enter.

You will be prompted when to enable and disable the receive or transfer function in your communications software:

When the message Output is about to be transferred via... appears, make sure the appropriate receive or transfer function is enabled in your communications software.

When the message Transmission complete appears, turn off the receive or transfer function in your software, then press Enter to return to the main search screen.



Screen Capture

Do your search, then press ^B.

Select Save Documents and press Enter. (If you created more than one set, you will be prompted to highlight the set to be saved. Highlight the desired set and press Enter) .

Use the arrow keys to select Screen Capture from the Select Save Service menu, then press Enter.

Enter a name for your set (up to eight characters).

Use the Tab key and numeral keys if you wish to change the number of documents to download or the Tab key and spacebar if you wish to change the default value of Include Strategy.

When you have made all desired changes to the settings, press ^O.

Decide which fields to include in your downloaded records. To accept the highlighted fields as shown, press Enter. To add a field to your search results, use the arrow keys to move to the desired field and the spacebar to highlight it. To remove a field, use the arrow keys to move to the desired field and the spacebar to deselect it. When finished making changes, press Enter.

You will be prompted when to enable and disable the screen capture function in your communications software:

When the message Output is about to be dumped to screen appears, make sure the appropriate capture function is enabled in your communications software.

When the message Transmission complete appears, turn off the capture function in your communications software, then press Enter to return to the main search screen.




NOTE for users of personal bibliographic database software:

If you want to import your downloaded search results into a personal bibliographic database software package such as Reference Manager or ProCite, both FTP and Email should work.

When using email, before importing you may first have to open your downloaded file and edit out the email headers.

As an alternate method, you may want to FTP the file directly to your email server. When the file is retrieved, it should not require editing before being imported into your database software.



NOTE for Macintosh users:

In order for downloaded files to be read correctly, you first need to make the following change:

At the main search screen, press ^O.

Use the arrow keys to select Default Settings, then press Enter.

Press Enter to select System.

Select File Save Options, then press Enter.

Select CR/LF Options for Saving, then press Enter.

Use the arrow keys to change the setting to Use LF Only, then press Enter.

Press Enter.

Press Escape, then press Enter to Save Settings Permanently.
